Privacy Policy

1. Introduction

LearnPilot (“LearnPilot,” “we,” “us,” or “our”) provides AI Quiz Maker by LearnPilot, an AI-powered quiz generation service available at https://getlearnpilot.com and as a Google Workspace Add-on. This Privacy Policy explains how we collect, use, store, and protect information when you use our website, web application, and Google Workspace integrations.

You remain the owner of the educational content you upload, connect through Google, or otherwise provide to LearnPilot. We process that content only to deliver the features you request, such as generating quiz questions and exporting them to Google Forms.

By using LearnPilot, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the service.

2. Information We Collect

We collect information in the following categories:

Account information. When you create an account or sign in, we may collect your name, email address, Google Account ID, and profile picture provided by Google.

Subscription and billing information. If you purchase a paid plan, we collect subscription status, plan type, and billing-related metadata. Payment card details are processed by our payment provider and are not stored in full by LearnPilot.

Usage information. We collect information about how you use LearnPilot, including quiz generation history, feature usage, credits or quota consumption, and interactions with the dashboard and add-on.

Device and browser information. We may collect browser type, operating system, device type, IP address, and general location derived from IP (such as country or region).

Log information. Our servers automatically record technical logs, including access times, pages viewed, API requests, error reports, and security events.

Content you provide. When you generate a quiz, we process uploaded documents, text you paste, URLs you submit, and Google files you explicitly select through Google Workspace integrations.

3. How We Use Information

We use collected information to:

• Provide, operate, and maintain LearnPilot and its features
• Authenticate your account and manage Google OAuth connections
• Generate quizzes and related educational content from your source materials
• Monitor reliability, security, and product performance using operational and aggregated usage signals (not to train generalized AI/ML models on Google Workspace user content)
• Provide customer support and respond to inquiries
• Process subscriptions, billing, and payment-related communications
• Monitor security, detect fraud, and prevent abuse of the service
• Analyze aggregated usage trends to improve the product experience
• Comply with legal obligations and enforce our Terms of Service

We do not use your personal information or your classroom content for advertising. We do not sell Google Workspace user data. We do not use Google Workspace user data to train or improve generalized AI/ML models.

4. Google Account Permissions

LearnPilot accesses Google resources only after you explicitly authorize access through Google's consent screen. You can review and revoke permissions at any time from your Google Account settings or from LearnPilot account settings.

Depending on the features you use, LearnPilot may request permission to:

• Access Google Drive files you open or select with LearnPilot (including via Google Picker), using the per-file drive.file access model — not unrestricted access to your entire Drive
• Create or update Google Forms when you request form creation or use the Forms add-on
• Read basic profile information such as your name and profile picture
• Use your email address to identify your account and communicate with you

These permissions are used solely to perform actions you initiate. LearnPilot does not browse or read all of your Google Drive, Docs, Sheets, or Slides by default. Content is accessed when you select a supported file or explicitly use an integration feature.

5. Google Workspace User Data and Limited Use

LearnPilot uses Google Workspace APIs (including Google Drive, Google Forms, and related Google services) through OAuth 2.0 so you can grant limited access without sharing your Google password with LearnPilot.

What data is accessed

When you explicitly select a supported Google Workspace or Drive file (for example through Google Picker on the website, or through the Forms add-on flows), LearnPilot may access the selected file content needed to provide the feature you requested. Supported sources currently include Google Docs, Google Sheets, Google Slides, and supported Drive files such as PDF, Word, PowerPoint, and images, subject to product capabilities.

LearnPilot does not have unrestricted access to your Google Drive and does not read all of your Docs, Sheets, or Slides.

How Google Workspace data is used

Selected content is processed to extract the text/content needed to generate the quiz or other user-facing output you requested (such as exporting questions to Google Forms). Google Workspace data is used only to provide or improve user-facing features that you invoke.

Transfer to AI services

When you request AI quiz generation from Google Workspace–derived content, the relevant extracted text/content is transmitted to LearnPilot's backend and to OpenAI's API for the sole purpose of generating the requested quiz/questions. Google OAuth access tokens are not sent to OpenAI. If OCR is required for a PDF or image you selected or uploaded, binary content may first be processed by Google Cloud Document AI; the resulting text may then be sent to OpenAI for quiz generation.

Google Workspace content is not transferred to AI providers for the purpose of training their generalized AI/ML models. See Section 7 for provider details and OpenAI's published API data practices.

Google API Services User Data Policy / Limited Use

LearnPilot's use of information received from Google Workspace APIs will comply with the Google API Services User Data Policy, including the Limited Use requirements. Information received from Google Workspace APIs is used to provide the user-facing features requested by the user and is handled in accordance with that policy.

LearnPilot does not sell Google Workspace user data. LearnPilot does not use Google Workspace user data for advertising. LearnPilot does not use Google Workspace user data to train or improve generalized AI/ML models.

6. Uploaded Files

When you upload a PDF, Word document, PowerPoint file, image, or other supported format, LearnPilot processes that file solely to extract content and generate quiz questions.

• Uploaded files are not used for advertising
• Uploaded files are not sold to third parties
• Files are transmitted and processed using secure, encrypted connections
• Source files and extracted content are retained as needed to provide the service you requested and to maintain saved quizzes/account features, as described in Data Retention and Deletion
• Temporary processing copies used during import/generation may be discarded after processing; fixed automatic deletion schedules are not guaranteed in this Policy

Saved quizzes in your LearnPilot account history may include extracted text or question data derived from your files so you can review and re-export them.

7. AI Processing and Third-Party Providers

LearnPilot uses artificial intelligence to analyze source material you provide and generate quiz questions. When you request quiz generation, relevant portions of extracted content may be transmitted to the processors listed below.

Active AI / document processors

Anthropic, Google Gemini, and similar alternate quiz providers are not used in the live quiz-generation path at this time. If LearnPilot enables additional AI processors in the future, this Privacy Policy will be updated accordingly.

OpenAI data handling

LearnPilot sends extracted content to OpenAI solely to generate the quiz/questions you request. LearnPilot does not send Google OAuth tokens to OpenAI. LearnPilot does not use Google Workspace content to train LearnPilot's own generalized AI/ML models, and does not transfer Google Workspace data to OpenAI for the purpose of training OpenAI's generalized models.

According to OpenAI's published API platform documentation, data submitted to the OpenAI API is not used to train or improve OpenAI models by default unless the API customer explicitly opts in to data sharing. OpenAI may retain API inputs/outputs for a limited period for abuse monitoring and security as described in OpenAI's documentation. LearnPilot does not claim Zero Data Retention (ZDR) or a specific OpenAI retention period for its organization in this Policy, because those account-level settings are configured in OpenAI's dashboard and are not verified from this application repository. Google Document AI

When OCR is required (for example certain PDFs or images), LearnPilot may send the relevant file binary to Google Cloud Document AI to extract text. Document AI is used for extraction only; quiz generation still relies on OpenAI as described above.

• Only content necessary to generate your quiz is sent for AI processing
• Processing is used to produce educational quiz output for you
• Generated questions are returned to your account for review and export

You should always review AI-generated questions before sharing them with students or employees. LearnPilot is a productivity tool; final responsibility for published assessments remains with you.

8. Data Storage

LearnPilot stores data on secure cloud infrastructure operated by established service providers. We implement industry-standard practices including:

• Encryption of data in transit using HTTPS/TLS
• Encryption of sensitive data at rest where applicable
• Protected storage of Google OAuth tokens and authentication credentials
• Role-based access controls limiting employee access to production systems
• Regular review of infrastructure and security configurations

No method of transmission or storage is completely secure. We work continuously to maintain appropriate safeguards for the data we handle.

9. Data Sharing

We do not sell your personal information. We do not rent or trade personal data to third parties for their marketing purposes.

We may share information only in these limited circumstances:

• Service providers who help us operate LearnPilot, such as cloud hosting, payment processing, authentication, email delivery, analytics providers, and AI/document processors described in Section 7 (including OpenAI and Google Document AI). These parties may access data only to perform services on our behalf or as otherwise disclosed in this Policy.
• Legal requirements when we believe disclosure is necessary to comply with applicable law, regulation, legal process, or enforceable government request.
• Protection of rights to protect the safety, rights, or property of LearnPilot, our users, or the public, including fraud prevention and security investigations.
• Business transfers in connection with a merger, acquisition, or sale of assets, subject to this Privacy Policy or equivalent protections.

10. Cookies

LearnPilot uses cookies and similar technologies to keep you signed in, remember preferences, analyze usage, and protect against abuse.

• Authentication cookies maintain your logged-in session
• Preference cookies store settings such as theme or display choices
• Analytics cookies help us understand how the product is used in aggregate
• Security cookies support fraud detection and session integrity

You can control cookies through your browser settings. Disabling cookies may limit certain features, including the ability to remain signed in.

11. Security

We protect LearnPilot and user data using multiple layers of security, including:

• HTTPS/TLS encryption for web and API traffic
• Secure Google OAuth authentication (LearnPilot does not receive your Google password)
• Server-side storage of API keys and secrets (for example OpenAI API keys are not exposed to the browser)
• Google OAuth access tokens are used to call Google APIs and are not sent to OpenAI
• Access controls and least-privilege principles for internal systems
• Monitoring for suspicious activity and service anomalies
• Ongoing security improvements as threats and best practices evolve

This Policy does not claim specific third-party certifications (such as SOC 2 or ISO 27001) unless separately documented to you in writing. If you believe your account has been compromised, contact us immediately at support@getlearnpilot.com.

12. Data Retention and Deletion

Data may be retained for as long as necessary to provide the requested service and maintain the associated quiz/account functionality, subject to the deletion mechanisms described below, and as needed to comply with legal obligations, resolve disputes, and enforce our agreements.

In particular:

• Account data is retained while your account is active
• When you save a quiz, LearnPilot may store quiz metadata, generated questions, and a truncated copy of source/prompt text associated with that quiz so you can review and re-export it
• Forms add-on drafts and related quiz records may retain generated content and associated source-derived text while those records exist in your account
• Temporary processing copies used during import/generation may be discarded after processing; exact automatic deletion timing is operational and not guaranteed as a fixed number of days in this Policy
• Billing and transaction records may be retained as required for tax, accounting, and legal compliance
• Third-party processors (including OpenAI and Google Document AI) may retain data according to their own policies and configurations; LearnPilot does not promise deletion of copies held solely by those processors except as those providers allow

What you can delete

• Quizzes / drafts: You can delete saved quizzes and related draft records through product controls where available (including website quiz deletion and Forms add-on draft deletion APIs/UI).
• Google connections: You can disconnect Google integrations and revoke Google permissions from LearnPilot settings and/or your Google Account.
• Account deletion: To delete your LearnPilot account and associated data, contact support (account self-serve deletion may not be available in-product). We will respond within a reasonable timeframe as required by applicable law.

13. Your Rights

Depending on your location, you may have the following rights regarding your data:

• Access — request a copy of personal information we hold about you
• Correction — request correction of inaccurate account information
• Deletion — request deletion of your account and associated data by contacting support; delete individual quizzes/drafts in-product where available
• Export — request export of quiz data stored in your account where technically feasible
• Withdraw consent — revoke Google permissions or disconnect integrations at any time

To exercise these rights, contact support@getlearnpilot.com or use the options in your profile settings. We will respond within a reasonable timeframe as required by applicable law.

14. Children's Privacy

LearnPilot is designed for educators, trainers, and professionals who create assessments. The service is not intended for children under 13 years of age, and we do not knowingly collect personal information from children under 13.

If you believe a child under 13 has provided personal information to LearnPilot, please contact us at support@getlearnpilot.com and we will take steps to delete that information.

15. International Users

LearnPilot is available to users worldwide. If you access LearnPilot from outside the United States, you understand that your information may be transferred to, stored in, and processed in countries where our service providers operate, including the United States.

These countries may have data protection laws that differ from those in your jurisdiction. We take steps designed to ensure that appropriate safeguards are in place when data is transferred internationally.

16. Changes to this Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or product features. When we make material changes, we will update the “Last Updated” date at the top of this page and, where appropriate, provide additional notice through the product or by email.

Your continued use of LearnPilot after an updated Privacy Policy is posted constitutes acceptance of the revised policy. We encourage you to review this page periodically.
